Otter.ai is an AI meeting assistant built around real-time transcription, searchable meeting intelligence and AI-powered conversation tools.

While many meeting assistants focus primarily on producing a summary after a call, Otter lets you follow conversations as they happen. Its platform combines live transcription, speaker identification, automated summaries, action items and AI-powered search.

Otter has also expanded into AI meeting workflows and agents, making the platform considerably broader than a traditional transcription tool.

For freelancers and consultants, however, the most important question is simpler:

Is Otter worth paying for when competitors such as Fathom offer unlimited transcription for free?

Our answer is: it depends on how you use your meetings.

Otter is particularly compelling if you value real-time transcription, live meeting intelligence and the ability to interact with conversations while they are happening.

What Is Otter.ai?

Otter.ai is an AI-powered meeting and conversation assistant that records, transcribes and summarizes conversations in real time.

It can automatically join meetings on:

• Zoom
• Google Meet
• Microsoft Teams

Otter can also record conversations through its web, desktop and mobile applications.

Its core workflow includes:

Otter's Notetaker can automatically join scheduled meetings, produce live transcripts and generate features such as summaries, action items and automated slide capture.

The platform now also includes AI meeting workflows and newer agent-based functionality, showing that Otter is moving beyond traditional meeting transcription.

How Otter Captures Meetings

Otter offers four distinct ways to get a conversation into your account:

• Meeting notetaker: Otter's Notetaker joins Zoom, Microsoft Teams or Google Meet as a participant to write and share notes. Other attendees can see it in the meeting.
• Web or desktop app: you record directly through Otter on your computer.
• Mobile app: the iOS and Android apps record in-person conversations using your phone's microphone, Bluetooth headsets or AirPods.
• File import: you upload existing audio or video. Imports have their own limits (3 lifetime on Basic, 10 per month on Pro).

If you connect your calendar, the Notetaker can join scheduled meetings automatically. Before connecting, review Otter's current calendar and auto-join settings in its help center so you know which meetings it will join and who receives shared notes. Business plans can run up to three concurrent meetings, and Otter lists controls such as recording disclaimer emails and Teams recording permission capture for higher tiers.

Languages and Multilingual Meetings

According to Otter's supported languages help article, Otter currently transcribes only English, Spanish, French, German, Japanese and Chinese (Simplified). The help center explicitly says other languages, such as Portuguese, are not supported. Otter's pricing page lists the same six languages in its plan comparison, so as of 22 October 2026 we found no conflict between the two sources, although the pricing page's plan cards only say "Multi-language support".

Otter Chat translation is different from transcription. Otter can transcribe a call in a supported language and then let you ask Otter Chat to translate the conversation or answer questions in another language. That is a post-meeting AI feature, not native transcription of that language.

For French-English or other mixed-language meetings, Otter's help center explains how to change the transcription language but does not document mixed-language transcription. We have not verified how Otter handles calls that switch between languages, so do not assume it transcribes mixed-language conversations reliably. Otter currently offers four main plans. Prices below are per user and were checked on 22 October 2026.

Basic

The Free plan includes:

Pro includes 1,200 in-app recording minutes per month, up to 90 minutes per meeting, 10 audio/video file imports per month, unlimited conversation history and storage, 50 AI Chat queries per month, advanced meeting templates, and Salesforce, HubSpot and Zapier integrations (CRM sync limited to one user). Otter's plan comparison describes the 1,200 minutes as a shared pool across meeting and imported-file transcription, with no rollover.

Business

Business costs $30 per user/month with monthly billing, or $19.99 per user/month billed annually at the current promotional rate.

It adds unlimited meetings and in-app recordings, up to four hours per meeting, up to three concurrent meetings, 200 AI Chat queries per month, custom AI workflows and enhanced admin features. "Unlimited" applies to in-app recording: imported-file transcription is capped at 6,000 minutes per user/month, even though Otter describes file imports as unlimited in number.

Enterprise

Enterprise is aimed at larger organizations and adds features such as custom integrations, SSO, SCIM, domain capture, API/webhooks and enterprise security controls.

Is Otter.ai Free?

Yes, but there is an important distinction between free access and unlimited use.

Otter's Basic plan is genuinely usable without paying. You get live transcription, AI Chat, automated notes and integrations with the major meeting platforms.

However, the 300-minute monthly transcription allowance can disappear quickly, and Otter's pricing page states that unused minutes do not roll over.

The table below is illustrative arithmetic only, not a reflection of typical user behaviour. Because Basic caps each conversation at 30 minutes, longer calls are cut off at that point.

Basic also allows only three audio/video imports for the lifetime of the account, so it is not designed for transcribing a backlog of recorded calls.

This is one of the biggest differences between Otter and Fathom.

Fathom currently offers unlimited transcription on its Free plan.

So if keeping your software costs at zero is the priority, Fathom has the stronger proposition.

Otter's Real-Time Transcription

This is where Otter really differentiates itself.

Otter isn't only useful after the meeting.

Its transcription appears as the conversation happens, allowing you to follow the discussion in real time. Otter also supports speaker identification, synchronized audio and text, and live captions for supported meetings.

For a freelancer, this can be useful when:

• a client gives you detailed requirements
• several people are discussing a project
• you need to check exactly what someone said
• you want to follow a complex discussion without taking notes manually
• you need searchable notes immediately

That makes Otter particularly attractive for people who see the transcript as part of the meeting itself, rather than simply something generated afterwards.

AI Summaries and Action Items

AI Chat with Gmail, Google Drive, Notion and Jira is listed for Enterprise only. Otter's pricing page labels it "Coming soon" in the monthly view and "New" in the annual view, so we do not describe it as generally available.

Earlier versions of this review listed Slack. Slack does not appear on Otter's current pricing page, so we have removed it from the list until we can confirm it in official documentation.

Otter for Freelancers

Otter makes the most sense for freelancers who want more than a post-meeting summary.

Imagine you're a consultant running several client calls every week.

During the call, Otter gives you:

The problem is that the Free plan's 300-minute allowance doesn't go very far once your meeting schedule becomes busy.

So Otter is potentially a great tool for freelancers, but the free plan is more of a way to try the product than a permanent solution for heavy meeting users.

Otter Meeting Agents

Otter has expanded its product significantly in 2026 with its Meeting Agents strategy.

Rather than simply recording meetings, Otter is developing agents that can participate in meetings, answer questions and perform tasks.

For example, Otter's Live Assist can provide real-time guidance during calls, while its Agent Builder allows organizations to customize AI agents around their own content and workflows.

These capabilities are primarily relevant to more advanced users and organizations rather than a typical freelancer looking for meeting notes.

That's important when evaluating Otter today:

The platform is becoming much broader than a meeting transcription app.

Whether you actually need that additional complexity is another question.

Otter Pros and Cons

Is Otter.ai Good for Freelancers?

Yes, but it depends on what you want from an AI meeting assistant.

Otter may be a good fit if:

• you want a live transcript you can follow during client calls
• your meetings are in English, Spanish, French, German, Japanese or Chinese (Simplified)
• you are comfortable with a notetaker joining calls, or you can record through the app instead
• you want to ask AI Chat questions across past meetings

Consider an alternative if you need:

• bot-free capture as your default workflow
• transcription in languages Otter does not list, or reliable handling of mixed-language calls
• more free usage than 300 minutes a month and 30 minutes per conversation
• CRM sync without paying for Pro or Business, or export formats beyond mp3 and txt on Free

If you simply want meeting recordings and summaries without paying, however, Fathom is currently easier to recommend.

And if you want your meeting data deeply connected to CRM systems and broader business workflows, Fireflies deserves a close look.

For freelancers, Otter sits somewhere between those two approaches.

It offers more real-time interaction than a simple meeting summarizer, while continuing to build out its broader AI workflow capabilities.

Is Otter.ai Worth It?

Otter is worth considering if you value its strongest differentiator: real-time conversation intelligence.

For occasional meetings, the Free plan gives you enough functionality to see whether the workflow suits you.

For heavier users, however, the 300-minute monthly limit makes upgrading much more likely.

That's where the comparison with Fathom becomes important.

If your only requirement is:

"I want unlimited transcripts and summaries."

Fathom may be the better value.

If your requirement is:

"I want to see and interact with my meeting information while the conversation is happening."

Otter becomes much more compelling.

And if your requirement is:

"I want my meeting information to feed into a larger business workflow."

Otter has grown considerably beyond its original transcription-focused proposition.

Its combination of live transcription, speaker identification, AI Chat, summaries, action items, slide capture and growing AI workflows makes it a capable meeting intelligence platform.

The main weakness for freelancers is the Free plan's 300-minute monthly transcription allowance.

If you have only a handful of meetings each month, that's unlikely to be a problem. If you're taking calls every day, you'll probably reach the limit quickly.

For simple, unlimited free meeting notes, we'd choose Fathom. For real-time meeting intelligence, Otter is the more interesting option. For deeper CRM and workflow integration, Fireflies remains a strong alternative.

Privacy, Consent and Client Data

According to Otter's current pricing page, all plans list TLS encryption, AES-256 encryption for real-time content and two-factor authentication. Several controls are plan-dependent: custom data retention, recording disclaimer emails, Microsoft Teams recording permission capture, recording and sharing permissions, export permissions, SSO and SCIM are listed for higher tiers, and HIPAA compliance is listed as an Enterprise add-on.
